Warehouse Coordinator

Reports To: Operations Manager 

Compensation: $20.00 to $24.00 per hour 

Position Summary

We are seeking a detail-oriented and responsible Warehouse and Logistics Administrative Assistant to support the daily operations of our warehousing and logistics activities. This role is primarily responsible for organizing documents related to logistics and third-party warehouse providers, inputting and maintaining data, managing inventory records, and verifying incoming and outgoing product lists and quantities. The position will lead a physical warehouse inventory count once a month, ensuring data accuracy. Inventory results must be submitted to the Operations Manager for review and reported to headquarters. This role will also be responsible for organizing, archiving, and maintaining relevant records to ensure traceability and compliance. 

Key Responsibilities 

  • Accurately input and maintain warehouse-related data and record systems 
  • Manage inventory records to ensure real-time accuracy of stock levels 
  • Verify detailed product information and quantities for all incoming and outgoing shipments, ensuring they match delivery/receiving documents 
  • Lead a monthly physical inventory count, summarize results, submit them to the Operations Manager for review, and report the final version to headquarters 
  • Organize, archive, and properly maintain warehouse documents and data to ensure traceability and compliance 
  • Support the warehouse and logistics team to ensure data consistency and process standardization 
  • Prepare and report on inventory discrepancies, turnover rates, and related metrics 
  • Assist in optimizing warehouse record-keeping processes and documentation standards 
  • Complete other administrative tasks as assigned by management 

Qualifications 

  • 1–2 years of experience in warehouse administration, inventory management, or logistics-related administrative work 
  • Proficient in Microsoft Excel; experience with inventory management systems or ERP systems is a plus 
  • Strong attention to detail, data accuracy, and a high sense of responsibility 
  • Good communication and teamwork skills 
  • Ability to work independently with a mindset for continuous improvement 
  • Bilingual in English and Chinese is preferred
